Format Painter

One command that allows you to copy formatting from one cell to another is format painter.

It is an excellent tool that helps you save a ton of time!

One can copy to individual cells or ranges using the Format Painter.

To utilize Format Painter, click its button in the Clipboard group on the Ribbon.

How To Use the Format Painter

  1. Select the cell that you want to copy
  2. Click the Format Painter button
  3. Select a cell or range

Now let’s attempt a few instances and copy formats that include colors and font characteristics like underlining, bolding, and italicizing:

Copy the red color from A1 to B1.

Step by step:

  1. Select A1
  2. Click the Format Painter button
  3. Select B1

Take note of the A1 is dotted border. This means the format has been copied and is prepared for pasting. Let’s apply paste to B1!

Copy and Paste Color to Multiple Cells

Copy B2 to C2. That is right, let’s try to paste to a range of two cells!

  1. Select A2
  2. Click the Format Painter button
  3. Select B2 and hold an drag to C2

That is the method! You can use the format painter on ranges as well as individual cells.

Copy Font Characteristics

Last illustration. Transfer A4:A6 is font characteristics to B4:B6.

Step by step:

  1. Mark A4:A6
  2. Click the Format Painter button
  3. Drag and mark B4:B6
